Hippo CMMS is an all-inclusive maintenance management system offering virtually any facility an easy-to-use, affordable and flexible solution for managing and maintaining assets and equipment. From helping businesses run more efficiently to reducing costs, here are some benefits of using this computerized maintenance management software:

Enhances Decision-Making

Hippo CMMS is a web-based maintenance software that enables managers to improve the quality of decision-making and forecasts by getting their hands on information such as historical data and records of maintenance operations. It shows you comprehensive insights on facilities maintenance costs, labor utilization, equipment downtime, inventory costs, overdue preventive maintenance tasks, asset depreciation and work order management facility. The reports generated by Hippo can be viewed graphically, saved and scheduled, and emailed to users and external contacts. They can also be converted to PDF, printed, and exported to Excel or CSV files.

Speeds Up Response Time for Critical Work Orders

Real-time email alerts are triggered in the CMMS tool when an incident occurs. It sends notifications to mobile devices to technicians and contractors can respond quickly to critical work orders. The tool has integrated camera feature for technicians to upload and attach images to a work order for enhanced visibility and mobility. Submission of work orders is simplified through the software’s request portal directly available on your desktop. If working on location, you can generate, review and receive work orders through your mobile device.

Extends Life of Assets and Equipment

The asset and equipment management solution offers a sophisticated and robust tool for storing, managing, maintaining, and reporting on your assets and equipment so you can effectively extend their lifecycle and maximize usage. KPI Dashboard, for instance, shows you a real-time view of your critical KPIs for maintenance operations to empower maintenance professionals to make better-informed and faster decisions. The tool helps you establish routine preventive maintenance schedules and tasks that take the guesswork out of servicing equipment and, instead, utilize a proper assessment method by having a clear view of your facility’s asset and equipment health.

Reduces Equipment Downtime

Through preventive maintenance conducted using Hippo CMMS, you can reduce the likelihood of equipment failure. This prevents scenarios that entail high repair costs, unsatisfied customers, unexpected labor demands, and emergencies and accidents. Routine preventive maintenance also contributes to an extended equipment lifecycle so you can maximize the usage of your investment. It monitors your equipment’s activity so you can make a solid preventive maintenance plan in place to prevent malfunctions.

Drives Productivity

Managers have visibility over calendar tools, hence, they can easily monitor and manage labor resource allocation and scheduling efficiently. Tracking utilization rates and showing variances between estimated labor time and actual time are accomplished with ease in a single location. Managers are also given the ability to administer performance reports, track labor or invoice expenses, and make informed HR decisions for any resource or vendor in your system. Its supplier management solution offers a database for managers to instantly access vendor contact information based on the work category.

Improves Inventory Management

Hippo CMMS simplifies complex inventory management in a centralized system. The tool easily associates parts with the appropriate equipment, view parts of a certain equipment type on work orders, and apply quantity thresholds for monitoring inventory levels. Inventory reports will notify you when inventory levels are running low and inform you of insights you need in increasing your stock with your supplier. It saves and shows real-time information of part number, images, supplier, minimum and maximum thresholds, storage location, and associated equipment, among others.

What Problems Will Hippo CMMS Solve?

Problem #1: Equipment downtime and failure

Hippo CMMS schedules preventive maintenance to ensure you don’t overlook routine equipment checks for critical facility and production equipment. The tool is flexible, easy to use, and automated. Maintenance schedules are also set according to calendar-based or trigger-based meter reading. Checklists are also clearly defined based on specific tasks and necessary documentation such as images, manuals, and contracts.

Problem #2: Slow response to work orders

Hippo CMMS has a work order management solution for tracking, modifying, and managing the maintenance workflow. Regardless of the user’s technical skills, they can easily access the information to make sure no work order falls into cracks, especially for larger facilities. Notifications are sent out to the appropriate receiver as soon as requests are approved. Analytics on response and completion time are also available so you can improve your workflows with data-driven information.

Problem #3: Costly reactive maintenance

Hippo CMMS handles preventive maintenance so you can routinely schedule when to check and upkeep your equipment. Based on what your equipment needs, you can conduct the maintenance daily, weekly, monthly, seasonally and annually. You will also receive notifications according to meter readings such as the mileage, run-time hours, and pounds per square inch, among others. This prevents repairs conducted when the equipment has already broken down which are more costly in labor and parts to restore it to its normal operating condition.

Pros: The software is very user friendly for all of my Maintenance Technicians from the trainee to my Senior Mechanic. The mobility of this product is just great, my technicians can input a demand service request via their iPads on the way to the manufacturing machine and close the request on the way back to the Maintenance Shop. My Plant Manager can log in at any point and get an overview how efficient my employees are at responding to machine breakdowns and Preventative Maintenance orders.

Cons: All of the issues I have had with the software or the website have been quickly resolved through their superb Customer Service Technicians who go above and way beyond to resolve the problem. I had a self-inflicted reports problem that they were able to fix for me, and I made a suggestion for a total records count in the Work Order Search results. (works great by the way...)

Pros: By far, the best aspect of this product is its simplicity for end users. The interface is straight forward and rather intuitive. The time required by staff to create, open, process, and close work orders very reasonable, and there isn't really anything in these steps that is troublesome or confusing. This was a big factor in our decision to go with Hippo as our CMMS, and has really helped make its roll-out successful with our workforce.

Cons: As an administrator for this software within my corporation, I spend more of my time working in the administrative back end that the developer has provided for this purpose. I'm happy that the software is easy for staff to learn and use, however I wish the administrative aspect of the software was a little more robust to more easily service my needs for managing a very large number of facilities. Even with the ability to create templates, rolling out a similar work order to 100 different facilities still requires performing some steps 100 different times. As well, there are a number of easy-to-generate reports, but I find that what I want to see in reports is not always what is provided. The alternative is a data export process that is a little too confusing for me.
