What is Trello?

Trello is a project management application that utilizes Kanban boards (which represent projects), cards (which represent tasks), and lists (which can be used to track the statuses of different projects) to move tasks or organize your resource materials in real-time. As with Kanban, the app lets you manage multiple projects simultaneously through visual ticklers. You can see who’s working on what as well as what the statuses of tasks and projects are. It can help you track your entire work progress from start to finish.

Trello lets your teams work more collaboratively so you can get more done. Keep everyone in the loop, get the most out of each meeting, and multiply your productivity with features that make work fun, flexible, and rewarding. Every team, from startups to enterprises, use Trello to organize, track, and coordinate workflows.

Freelancers and small businesses will find the pricing appealing (a freemium is available), while larger companies will have no problem scaling its features. Other key features include built-in rule-based workflow automation with buffer, custom card/board buttons, and a checklist tool.

Trello integrates with key software such as productivity apps, email apps, time tracking apps, and IM apps.

Pricing starts at $9.99 with the paid plans giving you more file storage, team features, and priority support, among others.

Overview of Trello Benefits

People seek a way to organize, plan, and share information related to all of life’s projects. The use case shouldn’t be limited by the tool — you can apply the same framework from work to other dimensions of life. Adaptable to any workflow, Trello boards can be used to accomplish any project or business team.

Within a Trello team, boards can be grouped into Collections by the business team (HR, Sales, Marketing, Design, etc.), board type (Projects, Meetings, Brainstorms, etc.), strategic initiative, or anything else. Inherently visual, Trello gives you perspective at a glance across their entire project, making it easy to see who’s doing what and what still needs to get done.

Here are the main Trello benefits:

Flexibility

Since the app is open-ended, Trello can be used for organizing any type of task — small or big, business or otherwise. This means that you can use the app to manage your company’s daily goals, keep track of meetings with colleagues, and organize your personal life.

Cloud Storage

Accessible from a desktop browser, Trello also provides you with free Android and iOS apps, lending to greater flexibility. You can manage your projects in the office, field, or anywhere you are internet-connected because your data is safely backed up in the cloud.

Organize anything, together

You can add checklists, attachments, and due dates to the cards. This is especially useful for collaboration in a large team. For example, one member could be working on a design project, another could be writing an article for that project, and another could be meeting up with potential clients or business partners. This ensures that everyone can see the status of the project and keep track of all the tasks needed to complete it.

Resolving issues

Trello helps you spot bottlenecks before they occur. For instance, seeing a team member swamped with tasks, you can reassign some of these tasks to another employee. When your team undergoes problems while working on projects, you can create an issue and assign someone to take care of those issues. For example, if a software encounters a bug problem, you can make an issue card and assign it to someone that can fix it. A project can sometimes be derailed by an unexpected issue, and this software ensures a way of identifying those problems and finding someone to provide a solution to it.

Beautiful Interface

Trello’s neat interface makes managing even the most complex of tasks fun. For example, you can customize backgrounds and add stickers to the cards for a more visual approach. You can even use these stickers as “tags.” For example, a thumbs-up sticker could indicate a job well done, a left arrow sticker could indicate backlog, and a right arrow sticker could indicate that a deadline is postponed.

Ease of Use

Adding tasks is easy. You can create a task by adding a new card and typing in a title for it. Then, you can add labels to categorize the cards. Sometimes, you have to change the label of a card from “In-Progress” to “Finished” or transfer it to a different category. Trello can easily let you do that.

Automation

Trello also has an assistant robot (whom the vendor aptly calls Butler) that can automate tasks built into the app. Butler can automatically add or remove labels, assign or reassign cards, and schedule tasks. But the feature that shines is that you do not have to learn complex code to make the most of Butler. You can write the code in English.

What Problems Will Trello Solve?

Problem #1: Campaign management can get hectic

When you’re managing a campaign, it can be hard to visualize a team’s progress along with the project. Trello boards make it easy to set up a schedule. You can add a due date to any card. The Calendar view enables users to see their cards mapped out in a weekly or monthly calendar layout. Due dates can be updated simply by dragging cards from one day on the calendar to another. Notifications and reminders can be set for each due date, keeping users accountable for tasks that get near or past their deadline.

Problem #2: Task assignment can get confusing

You can turn to Trello when you need more help bringing accountability to a project. Adding team member(s) to cards is an easy way to assign owners. Everyone on the board can see who’s assigned to which tasks, and the board can be filtered to show only a given user’s assigned tasks.

Problem #3: You need deeper features

Trello also has many Power-Ups that can help with more granular workload capacity management, such as Burndown for Trello and Agile Tools. Both Power-Ups add features including burndown charts and story points for Scrum and Agile teams. There’s also a lighter weight List Limits Power-Up that sets the capacity of cards per list to help with workflow management.

Problem #4: Repetitive tasks can be time-consuming

By automating repetitive processes on Trello boards with Butler, you can spend more time focusing on the important aspects of your work and be more productive. Butler is now a core part of Trello that helps teams codify business rules and processes, taking something that might take ten steps to accomplish and automating it into a single click. Butler’s automation is built to be used by anyone on the team, as it uses natural language to set up the rules with no coding experience required. It also suggests automation rules by observing repetitive actions across collaborators. You can ensure consistency or process, and save the entire team time where you may have previously spent it manually repeating tasks.

PROS: I was introduced to Trello professionally and I loved it in an instant. It's was one of the first project management tools I used and I just love how intuitive and sleek the software is. It also has a beautiful UI (and they have a great iPhone app too). I used Atlassian's JIRA on a previous project and it felt like I was working back in the stone age. Trello had me using Kanban boards long before I knew what Kanban boards were. The best part about Trello is how fulfilling it is to move completed cards from the "In Progress" queue to "Done" :) They say the best things in life are free and Trello is one of those things. Give it a whirl and I guarantee you'll switch within a week.

CONS: My only concern with Trello is that the Gold plan just isn't appealing and attractive as the free package. The free tier is already impressive as is so I have no any reason to upgrade to Gold. It wouldn't be the first time a company's free product is too compelling and due to financial motivations they choose to remove the free plan (looking at you Pingdom!). It would be a real shame if Trello ended up like that. Hopefully their business / enterprise plans are making them adequate cash to keep the free plan as-is.

PROS: I like its visual interface and flexibility of the system. I really like working and interact with Trello. The team behind this software does great job in providing positive user experience. It provides me with flexibility to create own workflows and to change them when needed. Also, I like the ability to change elements into different forms, for e.g. to make task into separate project.

CONS: I’d like to see a feature for lists and vertical columns to have a built-in segmentation. It would be helpful if they could implement this feature because lists can be long and they run together.

PROS: I like that I can easily keep to-do tasks and client’s notes in one place. I like the integration with Google Docs and other attachment tools. I find helpful the color coded labels for organizing the projects. Also, the card creation is easy and quick and I can easily add information to my profile. It allows me to create and check off all the to-do tasks before due-date. It displays the due-date clearly so we can know when something is coming up.

CONS: I cannot find easy way to create a list of all clients that can be updated with the original, collaborative card. It would be great If I can see all the projects while the other team members can add their own updates.

PROS: It's a freeware for starting things off and for use in small team. What you see is what you get. The platform will guide you in dividing and categorizing tasks. It also helps you get things done.

CONS: The platform's advantages can also have its share of downsides at times. While it's visually appealing, less information is displayed. Its infrastructure that helps assist you with tasks can be a downer. But if you're in dire need of functionality, Trello is worth going for since it integrates with other third party services.

I like the due-dates features. Its support team is excellent.

CONS: It would be nice to find a way to set up re-occurring lists. A desktop and browser version would be preferable. At the moment, their calendar doesn't have full integration with other third party calendars.

PROS: I love how simple Trello is. You can easily manage various types of workflows. We are able to manage processes smoothly and to keep our team engaged. From editorial calendar to employee onboarding we can manage the whole work.

CONS: In my experience, it requires little effort to make the system action-oriented. Its layout is great for running projects, keeping teams and processes on the track but in order to get task-level details in can be little complicated.

PROS: Trello allows us to customize and keep track of various projects for remote workers and teams. It is intuitive and easy to use. You can use it for free, even though we get paid account because we wanted to back up our boards. I cannot imagine my work day without this software. We have partners who use this software for free.

CONS: It can be complicated to customize emails to tasks that are assigned to one member.

PROS: What I liked about Trello is how visually appealing it is nad how it's so simple to use. You can customzie its appearance while its drag-and-drop UI is intuitive.

CONS: I hate not being to close out tickets. Instead, you're left to archive them without marking them as "finished."

PROS: Trello is easy to use and understandable software that helps you to visualize tasks by using color cards with various categories, details and including descriptions. This really makes sense and if you are visual by nature then it will be extremely helpful for you. You can connect the software with e-mail account so you can receive notifications and reminders. It allows you to collaborate with your team on a project and to share the cards with others.

CONS: I don’t like that I have to enter all information manually, this is time-consuming. Also, the process of sending emails to specific address in order to import info can be cumbersome. It doesn’t make much sense if it is used by only one person, but if you are team then it makes sense to input all the data within the system.
