PROS: If you're wondering how to manage the most of your HR software data in the shortest time possible, UltiPro is your answer! Our upper management is thankful for fast, regular, and accurate reports, and we are happy to please supervisors after a disastrous HRIS experience in the past. Novice employees are also fans, they love how easy it is to on-board and to access cloud-based information wherever they are. I sincerely wish we had discovered it earlier, it would have eliminated so much stress!

CONS: The only thing that comes to my mind is to ask for a smartphone icon, I really hate logging into the web to access my administration abilities. Except of this, I think the system is perfect.

The least favorable review

PROS: I am hard-pressed to think of a single positive aspect of this product.

CONS: My company transferred from PayChex to UltiPro in mid-2018. To be fair to UltiPro, the undersigned was not present for any kind of sales pitch, and is not familiar with any of the promises that were made by the UltiPro reps to our company executives. The decision to make the transition was executed without the knowledge or input of the undersigned, who handles approximately 210 employees in a fast-paced, 24-hours-a-day, 7-days-a-week, high-turnover retail operation. Most of our employees are hourly entry-level retail staff. The transition was extremely painful, and we received very poor support from the UltiPro transition team, all the while trying to run the regular, already-demanding day-to-day business of our 24/7 organization. Their “support” consisted of providing us with a number of empty spreadsheets, and expecting us to extract an excruciating amount of employee data from PayChex and enter it into their spreadsheets in their alien format. Again, the undersigned was not present for any sales pitch. I would strongly advise any company considering a transition of this kind to insist that UltiPro shoulder the burden of the transition i.e. give them full and complete access to any information retained by your previous payroll/HR provider, and insist that they and their team transfer the data. Confidentiality of information, while always a concern, should not be an issue – UltiPro is going to have the same information retained by your current service provider regardless of who transfers the data. Even in a perfect world, where UltiPro shouldered the burden as described above, some additional work is bound to fall upon your shoulders. In my case, a perfect example was the implementation of a more automated paid-time-off (PTO) accrual system and accompanying PTO request/tracking system. Our company had always done this manually, meaning that the undersigned would have to calculate each qualifying employee’s vacation and/or sick leave time and submit it to UltiPro. Calculation and submission of this information to UltiPro through their spreadsheet was a considerable but gladly-accepted chore, given the expected benefit of an automated PTO system. A spreadsheet was completed and submitted to UltiPro for implementation into their system. Several months later, while preparing to go “live”, UltiPro informed the undersigned that they would need updated PTO totals. I always love to spend hour upon hour repeating tedious, mind-numbing work. But we’re not done yet: After going live & receiving numerous calls from frustrated employees complaining that they were receiving errors whenever they attempted to request vacation time, the undersigned discovered that most of the PTO balances submitted to the UltiPro transition team in the spreadsheets had not accurately transferred into the UltiPro “TIME” module. Almost all of my employees had a balance of zero. The UltiPro transition team’s assurance that they would manually compare the spreadsheet with the balances and make the appropriate corrections went unfulfilled, whether due to technical or human error, and one of the undersigned’s co-workers was tasked with checking each of the balances one-by-one. Another major disappointment with UltiPro is the number of different modules. There is the UltiPro CORE module. There is the UltiPro TIME module. There is the UltiPro TIME OFF AND ALLOWANCE module. There is the ONBOARDING module. There is the UltiPro BUSINESS INTELLIGENCE Module. There is the UltiPro CUSTOMER SUCCESS PORTAL, which not only requires a separate login and password, but UltiPro recommends you use the Internet Explorer browser when utilizing it, while recommending the Google Chrome browser for the others. The separate modules leave plenty to be desired in the transfer of information between them i.e. a change to any one piece of employee data may require multiple entries – one for each module. Multiple modules also mean multiple different departments you may need to contact if you have an urgent issue you need resolved. If you are hoping (as I was) that UltiPro would mean only one phone number or one representative that could handle any of your customer service issues, forget it. Another major disappointment: with the transition from PayChex to UltiPro, we went from having a payroll processing deadline of 4pm for next-day delivery to a payroll processing deadline of 12pm for second-day delivery of hard-copy paychecks. To be fair, every time the undersigned has failed to meet this infeasible deadline (to wit: every single payroll), UltiPro has been able to get the checks to us on the 2nd day following completion. But if a holiday falls between completion of your payroll and your company payday, your employees will not see their hard-copy paychecks until the 3rd day following completion. Another: their inability to customize the interface for our company’s needs vs. the needs of all their other clients. Example: while entering newly-hired employee data into their system, there are (as would be reasonably expected) a multitude of data fields to complete: i.e. name, SSN, address, hourly rate, etc. etc. One of the necessary fields UltiPro requires for every employee is TIME ZONE. Our company only operates in the U.S. central standard time zone. Can the system be configured so that this field automatically defaults to U.S. Central Standard Time? Nope. Why not? Because other UltiPro clients operate in other time zones, or in multiple time zones. Repeat this “because our other clients…” answer for a substantial number of other superfluous but required data fields. It’s simply more chances for things to be entered incorrectly; more invitations for other complications and issues. Another: as issues, difficulties or complications arise, UltiPro expects you reduce the problem you are having to writing for entry into their separate CUSTOMER SUCCESS PORTAL, where you receive a case number, and hopefully a response of some kind within 24 hours. Describing an issue in writing is often challenging & time-consuming, depending upon the complexity of the issue, even for someone with exceptional writing skills. If you’re lucky, your problem might have an easy solution. If not, you might engage in a friendly little game of phone tag over the course of the next few days. I’m sure UltiPro loves this complaint system, as it most likely serves to discourage complaints, service requests, or cries for help from being made at all. To be fair, there is an UltiPro Rapid Response phone number, but they ask that you use this line only for urgent matters affecting a payroll with a payday within 72 hours of your call. Also, very often, a call to this number simply results in the UltiPro representative creating a case and informing you that someone from the appropriate department will call you back. Neither the UltiPro “Workforce Management” team nor the “Business Intelligence” team nor the “Onboarding” team has a direct line, and you cannot be transferred to them. They will contact you at their convenience, putting you and your business at the mercy of their schedule. Another: The reporting system within the TIME module does not provide accurate information. Example: My operations manager requested a report showing current PTO balances for my employees. After running the “Transactions and Balances” report from the TIME reporting sub-module, and comparing it with my own PTO balance, the report showed that I had a balance of 48 vacation hours to use, while my personal dashboard in the Time Off and Allowances sub-module correctly showed a balance of 24 hours. Another: When preparing for the end-of-year wage increases for the hourly employees, the system provides each supervisor with a table of their employees. The supervisors then enter a proposed wage increase into this table, but the system will not allow supervisors to enter a simple per-hour increase into the table. Instead, it requires them to enter these hourly employees’ increases as either a percentage, or as an Annual Total Increase lump-sum amount (ATI). As mentioned earlier, our industry is a high-paced, high-turnover, 24/7 business. Hourly employees’ schedules vary from week-to-week. The UltiPro system requires that this ATI be based upon the per-pay-period number of hours estimated and entered into the system at the time-of-hire. Thus, the supervisors must perform various calculations to determine the equivalent of a simple $.25-per-hour increase: either calculate the percentage, or search for the estimated number of hours (per pay period) entered for each employee at the time of hire and calculate the ATI based upon this estimate and the per-hour increase intended for the employee. UltiPro was unable to include even something as simple as each employee’s date of hire in this table for the supervisors, much less provide a simple way for our supervisors to recommend a per-hour increase for their employees. Another: PTO resets as of January 1st: Sick Leave Balances for Cook County employees: Cook County ordinance requires employers to provide paid sick leave to employees in the amount of 1 hour of paid sick leave accrual for every 40 hours worked, up to a maximum of 40 sick leave hours earned per calendar year. Employees may carry over half of any accrued sick leave into the following year, up to a maximum of 20 hours. The UltiPro PTO system cannot be configured to automatically perform both of these operations at the end of the year i.e. an employee with a total of 50 unused sick leave hours on December 31st will end up with 25 hours as of January 1st. There is no way for the system to automatically reduce any balance greater than 20 hours after the one-half calculation is performed.

PROS: What could be better than performing multiple actions on the web (simultaneously) and saving time with no risk of failure? UltiPro made it happen! I still can't believe its fantastic reporting capacity, or the fact that I have a top-notch customer service to back me up instantly.

CONS: Makes me sad that due our budget constraints, we cannot afford to use all of the system componenets.

PROS: Ultimate Software allows us to do more with our HR information in less time. It allows us to create reports that are highly helpful to our upper management, department heads and supervisors in a timely manner. We are able to onboard employees without worrying about opening on a machine in every office. The software is cloud-based and this is huge plus. There are many other things we can do with this software.

CONS: I’d like to see an option to load system administration abilities instead of logging into the web so we can get there, but on the other side we are testing the mobile app.

PROS: UltiPro is like a homegrown system, you can always configure it to fit your needs. As an organization with uniques structure, we grew to appreciate this fact a lot, and we wouldn't replace UltiPro even if it wasn't that functional. The grade says it all: the system is perfect for managing employees and payrolls, and continues improving all the time.

CONS: There are drawbacks, obviously, but nothing that critical. I would improve mass updates if I could, and I think the team took this into consideration. So far, you can only update supervisors, but I am positive that this will change.

After running the “Transactions and Balances” report from the TIME reporting sub-module, and comparing it with my own PTO balance, the report showed that I had a balance of 48 vacation hours to use, while my personal dashboard in the Time Off and Allowances sub-module correctly showed a balance of 24 hours. Another: When preparing for the end-of-year wage increases for the hourly employees, the system provides each supervisor with a table of their employees. The supervisors then enter a proposed wage increase into this table, but the system will not allow supervisors to enter a simple per-hour increase into the table. Instead, it requires them to enter these hourly employees’ increases as either a percentage, or as an Annual Total Increase lump-sum amount (ATI). As mentioned earlier, our industry is a high-paced, high-turnover, 24/7 business. Hourly employees’ schedules vary from week-to-week. The UltiPro system requires that this ATI be based upon the per-pay-period number of hours estimated and entered into the system at the time-of-hire. Thus, the supervisors must perform various calculations to determine the equivalent of a simple $.25-per-hour increase: either calculate the percentage, or search for the estimated number of hours (per pay period) entered for each employee at the time of hire and calculate the ATI based upon this estimate and the per-hour increase intended for the employee. UltiPro was unable to include even something as simple as each employee’s date of hire in this table for the supervisors, much less provide a simple way for our supervisors to recommend a per-hour increase for their employees. Another: PTO resets as of January 1st: Sick Leave Balances for Cook County employees: Cook County ordinance requires employers to provide paid sick leave to employees in the amount of 1 hour of paid sick leave accrual for every 40 hours worked, up to a maximum of 40 sick leave hours earned per calendar year. Employees may carry over half of any accrued sick leave into the following year, up to a maximum of 20 hours. The UltiPro PTO system cannot be configured to automatically perform both of these operations at the end of the year i.e. an employee with a total of 50 unused sick leave hours on December 31st will end up with 25 hours as of January 1st. There is no way for the system to automatically reduce any balance greater than 20 hours after the one-half calculation is performed.

PROS: UltiPro has great set of features and powerful HRA apps that are SaaS based. I like that the ongoing system updates are done by Ulti after hours and this means that our system is always up and available while business hours. The tool is cloud and web based solution and you have an easy access from anywhere. It allows us to avoid check printing and use the direct deposit feature.

CONS: This tool is used by almost everyone and whenever we want customs created we need to wait even for 6 weeks because of the busy demand. But we have found a way so this is no long an issue for us.

PROS: What I like most is the simplicity of this product, it is user-friendly and very intuitive tool. I like that I can always rely on this software and I’m sure that all our associates are accurate and efficiently paid on a weekly basis. We haven’t experienced delay when it comes to payments. The software really makes our life much easier.

CONS: Sometimes I cannot find areas where to build a BI report in quickly, I don’t really have lot of time to xcreate reports whenever the senior management needs one. But, BI-Delivered Artifacts allow me to locate same information that are already built for me.

PROS: If you're wondering how to manage the most of your HR software data in the shortest time possible, UltiPro is your answer! Our upper management is thankful for fast, regular, and accurate reports, and we are happy to please supervisors after a disastrous HRIS experience in the past. Novice employees are also fans, they love how easy it is to on-board and to access cloud-based information wherever they are. I sincerely wish we had discovered it earlier, it would have eliminated so much stress!

CONS: The only thing that comes to my mind is to ask for a smartphone icon, I really hate logging into the web to access my administration abilities. Except of this, I think the system is perfect.

PROS: I like that this software provides great service and partnership. The team behind this tool is extremely helpful and always responsive, they do not rely on patchwork customs they always help us to solve issues and to create productive environment for user community involvement. I like all their products because all of them are extremely useful.

CONS: Sometimes there is no good integration with some legacy products, but I believe that they work hard on developing their own products. We look forward to eliminate our back office so the web interface can fully mirror all the functionalities.

PROS: They are one hell of a team, I can’t find the words to describe them! They comminicate in a pleasant and helpful manner, and they give excellent feedback both on the phone or via email. PROS: It's not so common to find a Payroll/HR software that functions impecably. Ever since we set the product up, we've done nothing but to appreciate what we have: customizable components that guide us from hiring to payroll-ing, a tracking system for employee attendance, time efficiency, and quality.

CONS: The reprorting system is not very friendly, it doesn’t allow me to use BI reports, even if I am a front line manager. I am also disappointed by the PTO mechanism (time off requests), because it doesn't import automatically requests for previous payp periods.

PROS: Ultipro meets all our needs and it provides us with lot of flexibility. I have to say that I’m very satisfied with the self-service functionality of this software because it is easy and intuitive, and it can be used by every employee. I like that the resources are available no matter the type of staff whether they are account staff or subject matter experts.

CONS: I don’t like that I have to open a ticket and wait for a call back, I’d like to have service 24/7 because sometimes while working on some project I need an immediate assistant.

PROS: With a single log in I am managing payrolls, benfits, recruitment, training, and performance. We took all HR functions under a single hat, and we have pleanty of time left to deal with more complicated issues. The top feature is employee self service, because employees have direct access to every process without me being involved.

CONS: The time needed to create and setup companies is just too slow for the flexibility we are supposed to offer. With larger profiles, the process takes up to 4 months, not even to mention that there is extra manual payroll to be done after it.

PROS: Ultimate Software is thorough tool that offers user-friendly interface so your team can quickly access the information they need in order to complete every step along the HR starting from recruitment, onboarding, benefits enrollment, job changes and even more. You can create and run ad hoc reports for saving measures, planning and development. The Ultimate Software design provides you with all the information you need for your job including complete information. You have an access to seamless platform so you can interact with mass audience constantly via homepage dashboard, repost bursting and auto-notifications for changes.

CONS: When it is time for system mass updates then the system may experience unintended and unexpected errors which take few days for resolving. Also, the content management formatting is bit complicated and it takes too much time to get the announcements, docs and forms to be visible as intended. In addition, I found out that the browser compatibility is somewhat limited and not compatible. Furthermore, they could update the onboarding module so it can generate employee N. prior to hiring of the employee.

PROS: UltiPro is a the most robust SAS based application for HRA and Payrolls I've ever used. Now we have an online system that is 100% available during business hours, because the support team is updating it only after our workday is over. As you know, the app is web based and you can access it whererver you are, and it eliminates unnecessary costs for prinitng paperwork.

CONS: There are always disadvantages when working with a popular company, I know that now-it takes me 6 weeks to create a customer because of their high demand, but if you do this ahead of due time, it won’t be an issue.

PROS: UltiPro keeps all the job and salary history into archive, we used a tool that it didn’t offer this kind of feature so we had to record everything in a notes section. I like the accuracy of the information on the fields. We are able to add new performance review to the system and to plan future goals.

CONS: There is no way to create a feed from Ultipro to other system of record. Also, I don’t like that whenever error occurs on a feed discovery then new service request window is opened. And the other major think that I don’t like about this tool is the fact that it keeps history of every performed transaction with the employee, so when we move someone to other department and assigned them a different role the whole information stays with them forever, but according to me this is not great idea because they don’t need to have an access to the information they once did.

PROS: I like Ultipro’s functionality. I love that I can make the system to do the job the way I want. The reporting feature is great and we can easily set it up and send the reports to other departments automatically.

CONS: Too much building, we need various people to help us with various things. Also, when we run into some tax reporting issues than the tax representatives can have an access to core to troubleshoot and this is same thing with integration. Our team can easily set up the link but it they cannot see if the report is sent to troubleshoot.

PROS: It's not even service, it's partnership! It's nothing alike traditional communication, where they answer out of consideration, but refuse to deal with the issue in a polite way. I perceive them as colleagues, the know my work in its core and deal with it better than I do. That's just admirable! It also explains how they arrived to such an excellent product, that fits seamlessly in our IT environment, and has all the functions we need. Self-service is awesome, and I am very pleased to be so self reliant when it comes to HRIS.

CONS: With a modest IT background, I was able to recongize third party legacy products that integrate somehow differently than the core environment. For what I know, they are trying hard to develop their own products, and I think 2016 will be the year for that. Without fall modesty, we expect UltiPro to replace our back office completely, and we are more than willing to transfer our full functionality within their awesome web interface.

PROS: Ultipro has great integrated system that allows us to handle all aspects of the payroll, human resources and benefits for my users. We have personal customer support assistant and own tax representative who know everything about our company and they are always available for us. The product we used before this one was extremely complicated and the support team didn’t know anything about us and our products.

CONS: I’d like an option to enter negative wages whenever I try to calculate a check and to edit an instant check when it’s posted. I really like to edit something before submitting the payroll. But I believe they will work on this issue.
