PROS & CONS

What are the best aspects of this product?

Documentum has significantly made our lives so much easier. We initially introduced this into our workflow to simply manage our files and organize it better. However, we quickly learned that this robust tool delivers much more than storing and filing documents. In fact, it has substantially improved some of our other work processes as well. I might even be bold enough to say that this has significantly improved our daily task completions. For one, it helps us solve difficult issues that get in the way of our company’s growth. Another reason to love about this program is that it keeps us updated on the “health” of our files too. This way, we can easily keep our resources up-to-date and even update our meta-data to make sure that they are accurate and, more importantly, searchable. We’ve been able to track the movement of a project better and see it all the way to approval and implementation processes.

What aspects are problematic or could work better?

Documentum is a pretty conservative solution when it comes to data and file management. Not to mention, it can be quite costly too. It is its refusal to keep up with the times and upgrade their offerings that might just be the cause of its downfall. I can say that there are other solutions that are far more reliable, not to mention, innovative that can easily push Documentum out of the race. In fact, I know that this program has already lost a lot of its loyal users because of the appeal of other programs similar to it. You’d need to top up in the price if you want an upgraded version of Documentum too. And even if you do decide to try out the latest versions, there are still a lot of functionalities that are lacking in it that are readily available elsewhere. I think that it’s in bad faith that they no longer offer support to their subscribers who are not using their latest versions too.

What specific problems in your company were solved by this product?

Despite its many issues, Documentum is still a pretty sturdy tool that can take care of even the most complicated tasks. This is why we continue to use it. For heavier projects, we tap into this giant to make sure that the files we upload to it are safe and secure. True, there may be some aspects that Documentum fails at (innovation for example), it does however have a proven track record of being reliable. And to be fair to its developers, they are introducing--albeit very slowly--some new features that one might consider to be important in a file management tool such as this. We can’t exactly simply drop our subscription to Documentum because of the sheer volume of data we already have up on its platform. But that is taking it from the business perspective. As an individual user, I’ve been using this tool because of its flexibility. I love how it allows me to personalize and update my preferences. Overall, this program does appeal to certain user demographics. Some of the tools that we have been utilizing are its content transformation feature plus its asset and record management tools.
