What is Bill.com?

Bill.com is an accounting solution designed to digitize and automate accounts payable and accounts receivable processes. Touting itself as an AI-enabled financial platform, Bills.com can be used to capture invoices, approve payments, manage cash inflows and outflows, and keep track of back-office financial operations. With this, businesses can bridge the gap between them, their suppliers, and their clients.

Bill.com is ideal for small- and medium-sized businesses that want an end-to-end solution for automating business payments. It can also be used by banks, accounting firms, and wealth management companies for serving their clients. As such, it has become a trusted partner of several of the largest financial institutions in the U.S., including top accounting firms and popular accounting solution providers.

One of the greatest advantages of using Bill.com is that it can significantly reduce the time it takes to pay vendors, whether local or international. On average, customers using the platform have saved 50% of time spent on accounts payable processes which can amount to 36 businesses annually. Moreover, customers reported getting paid two times faster. The software also cuts down on manual data entry and gives you visibility and control over the approval process.

A key feature of Bill.com is the automatic invoice capture that is made possible by its Intelligent Virtual Assistant (IVA) technology. Moreover, you can set up approval workflows based on your business rules. It also syncs with leading accounting software so you don’t have to enter data twice.

Users can get access to this AP and AR automation solution at $39 to $69 per user per month. On the other hand, Bill.com also offers plans for accounting firms that cost $49 per month.

Overview of Bill.com Benefits

Bill.com is a leading cloud-based, AI-enabled solution that is built to simplify back-office financial operations using digitization and automation. With this, users can manage cash inflows and outflows and optimize end-to-end financial workflows as well as reap the following benefits:

Faster payments to vendors
With Bill.com’s AP automation function, you can transact with your vendors in four easy steps. You can upload an invoice or have your vendors email it to your Bill.com inbox. Next, you can specify who will approve the payment. Third, you can pay vendors in a variety of methods such as ACH, check, virtual cards, or international wire transfers. Payments can be set up as single, bulk, or recurring payments. After you make the payment, Bill.com automatically syncs the information with your accounting system. In this way, the need for inputting data again is eliminated and at the same time, you can be assured of the accuracy of the data in your systems. As such, you can save up to 50% of your time or 36 business days annually on accounts payable processes by using the platform.

More efficient accounts receivables process
Just as quickly as you can pay vendors, Bill.com also allows you to fast-track payments you receive from customers because of its AR automation option. Within minutes, you can send a professional invoice using templates and customizable invoice fields. You can choose to send invoices by email or postal mail and set instant or recurring invoices. You can literally set it and forget it with features like auto pay and auto charge, allowing you to automate otherwise manual processes. Once invoices are sent, you can track them straight out of your Bill.com inbox and even set up automated reminders for following up with your customers. With this process, many customers using the platform have reported getting paid two times faster

Streamlined workflows across business systems
Bill.com has partnered with several of the biggest financial institutions in the U.S., including top accounting software providers as well as accounting firms. As such, it can work with the tools you already use so you always have updated information at your fingertips. It automatically syncs with leading accounting software such as Xero, Quickbooks, Sage Intacct, Microsoft Dynamics, and Oracle NetSuite. Bills.com also integrates with non-accounting tools like Expensify, Hudboc, Tallie, Tax1099, and Earth Class Mail. This makes it simpler to import and export data from other tools through templates that Bill.com provides to your organization. By integrating Bill.com with your existing tech stack, you can set up your finance team for success.

What Problems Will Bill.com Solve?

Problem #1: Inefficient accounts payable processes

Solution: Paying vendors, contractors, and other trading partners can be a messy process. By leveraging the functionalities that Bill.com has to offer, you no longer have to process stacks of invoices and manually route them to the correct approvers and mail the checks out.

The platform is equipped to automate everything from collecting and validating invoices to approving them to processing payments. It can accommodate all invoices via email or even let you scan and upload them to your digital inbox. After which, all you have to do is generate a new bill, input a few vendor-specific details, send it to your approvers, and pay it using ACH. Alternatively, it can automatically print checks for vendors that prefer it. It will then record the transaction on your accounting system.

What makes this great is that you can set up notifications whenever bills need attention so that your authorized approvers can review them as promptly as possible. It also lets you create custom user roles so you can easily control access to your bills and invoices.

Problem #2: Time-consuming accounts receivable processing

Solution: Handling accounts receivables manually can be time-consuming as well as prone to errors. This is why Bill.com focuses on automating your AR processes through digitization. With this, you can conveniently and efficiently accept payments via virtual cards, checks, or domestic ACH. Moreover, you may set up recurring payment reminders, invoices, and overdue reminders so no transaction is overlooked. Lastly, it syncs received payments directly with your existing accounting software so you can be sure that all transactions are recorded accurately.

Problem #3: Inefficient payment processing

Solution: While online bank transfers and instant payment processing solutions are becoming more ubiquitous, there are still cases wherein you have to go through certain steps to finalize domestic and international payments. This is especially the case for companies that transact with foreign vendors. Luckily, Bill.com is built to streamline this aspect of your business. Not only does it allow you to manage your payments through the apps, but it also helps you save on wire transfer fees. What is more, Bill.com automatically syncs each transaction with your QuickBooks, Intacct, Xero, and NetSuite accounts should you choose to integrate the solution with them.

Bill.com Position In Our Categories

Since businesses have specific business requirements, it is logical that they steer clear of going for a one-size-fits-all, ideal software. Still, it would be almost impossible to try to stumble on such an app even among well-known software solutions. The clever step to do can be to spell out the various key aspects which require research including major features, costing, skill levels of the employees, organizational size, etc. Next, you should perform your research systematically. Have a look at these Bill.com review articles and scrutinize each of the solutions in your shortlist in detail. Such well-rounded product research guarantee you steer clear of unfit software solutions and buy the system which offers all the function your company requires in growing the business.

TOP 100

Bill.com is one of the top 100 Accounting Software products

Organizations have unique wants and requirements and no software application can be just right in such a condition. It is pointless to try to find an ideal off-the-shelf software app that meets all your business wants. The smart thing to do would be to adapt the application for your unique wants, staff member skill levels, finances, and other factors. For these reasons, do not hasten and invest in well-publicized popular systems. Though these may be widely used, they may not be the best fit for your particular requirements. Do your homework, investigate each short-listed system in detail, read a few Bill.com Accounting Software reviews, call the vendor for clarifications, and finally select the product that presents what you want.

PROS: Like many small businesses, we rely on QuickBooks for accounting. Bill.com integrates with QB almost without a hitch, which allows us to sync our transactional data and generally speed up billing. The biggest change I noticed since we automated our billing are fewer errors and faster collection, which is the world to a growing company.

CONS: I said almost without a hitch because there are a few cases where QB integration isn't as smooth. For one, reverse invoice approval could've been simpler--you'll make an error at some point so this tool has to be made efficient. More easier options to invoice resending and vendor Bill.com account verification would be much appreciated, as well.

PROS: Nothing, I was forced to use this service to accept payment from a customer

CONS: I work in QB Enterprise and have no problem emailing bills to customers. I have one customer who only pays thru this company, thereby forcing me to sign up and use their services for one customer. I cannot download my bill (at least I cannot figure out how to do so without paying for their services). It shows payments then shows the same invoice as unpaid. This is awful.

PROS: I like that it easily integrates with NetSuite, our ERP. I can send collectibles quickly to sales and vice-versa. Errors can easily be spotted and corrected as well, like when sales had pointed out a discount they committed to the client wasn't factored in. Rectifying this was done in minutes, thanks to the solid integration.

CONS: Nothing really as of the moment. If there's one, my boss is starting to ask why we're using a seperate accounts payable since we already have NetSuite. It can go the other way, I said, since we're a small team as of now. I'm still assessing the best setup for us.

PROS: It used to take our finance a day or two (during payroll) to get updated on billing. Whether it's the client or sales rep, sharing of documents is manual and that took time even if both departments are on the same floor. With this app, we can take a look at the invoice in quesiton in real-time and resolve any issue right away in the comfort of our cubicle. I noticed, too, a closer cooperation (a.k.a. less antagonism) between finance and sales as a result.

CONS: Nothing that I can recall.

PROS: The general interface is clean and easy to follow. No cluttering of features so I can easily organize the inbox by status or vendor, do bulk payments, schedule different payments to different vendors with a few clicks and attach support documents to invoices. I also like the ePayments feature that further streamlines our billing process.

CONS: I have had issues with vendor updates. It'd be great if there's a clearer way to get notified so I can adjust to the new or discarded features at once. This doesn't happen a lot though, but the point is it happens.

PROS: We don't have any problem with QuickBooks integration. Our invoices go to Bill.com, where we approve them and calendar the collection then sync it with accounting. The entire process can be streamlined with automation, very practical for recurring billing. Even bill attachments are automatically entered into the system.

CONS: Verification of accounts takes a while. But that's understable even if a bit annoying.

PROS: Bill.com allows my clients to upload the bills and they can control and approve the bills after they are in the system and leave them to be paid, also, they don’t have to worry about paying bills once they emailed to Bill.com because they know that the bills will be paid on time.

CONS: When I want to switch from one company to another I have to go back to main console, they need to make this switch easier.

When you select specific bill you can see the document uploaded without multiple clicks for referenced documents. I can e-mail all the invoices and ask my vendors to email alias directly.

CONS: What I don’t like is the main dashboard page, it is little complex and confusing with so many different statuses, because they are not sorted well. Also, I cannot find an option to download the attachments, or maybe there isn’t such option.

PROS: Nothing! They are too expensive. They have poor customer service. They are difficult to contact directly. They have not trained their salespeople that it's wrong to LIE!

CONS: I was only researching the software for a client through Quickbooks Online. My client and I decided it was too expensive and there are other payment services that are more effective so we decided to not download the product. Today, however, someone from Bill.com called my client directly at his place of business and tried to pressure him into purchasing. He misrepresented himself by saying that he 'works with me' and that was why he was calling! It totally jeopardized my relationship with my client! I'm horrified by these practices.

Bill.com helps you to get paid as well allows you to pay your bills. There are options whether you want to pay by check, ACH, or to other bill.com users and what’s important the fees are minimal. In other words I don’t need to order and wait to pay batch and ACH fees from my bank account.

CONS: Bill.com integrates with Xero but, their functionality is limited and one sided, because whenever I reconcile invoices in Xero there are no updates about invoices in bill.com.

Then someone else took up the case and when I finally was able to get an investigation going and got answers, I had four others emailing me to tell me they were taking up my case to trouble shoot my original problem. Just too confusing. The other issue that I'm dealing with is that there are double invoices being made. Someone from bill.com sugessted that if I were a paying customer I may not have the issues. The business that I bill, is a paying customer and they are losing money paying these double invoices! That is a poor marketing tool
