What is Visual Planning?

Visual Planning is a user-friendly, feature-rich software that makes scheduling and resource management a breeze. With its drag and drop functionality, Visual Planning makes it easy for users to create, update, and manage their schedules. This ease of use turns scheduling in a painless process and at the same time, greatly enhance the reactivity and efficiency of every member as an individual and every team as a unit.

Adding value to an already high value system, Visual Planning is also loaded with tools to help managers monitor their projects and work orders, effectively allocate their resources, and make viable plans so that they will be able to meet deadlines, deliver high quality service, and generate more revenue.

Mobility is also integrated to the system. Visual Planning is accessible to all devices with internet connectivity. That means you can easily see your projects, make changes to schedules, and view reports even while on the go.

Overview of Visual Planning Benefits

Visual Planning is a fully customizable scheduling solution that can adapt to each customer’s requirements, workflows and processes. Each application is configured from the ground up to fit customer needs – this includes data structure, system rules and calculations, displays, metrics, reporting, notifications, as well as a web-based app for tablets and smartphones. All configuration is performed using the base features of Visual Planning, with no programming involved, and each configuration can evolve and be modified as the customer’s needs change. End users can learn to configure and modify their own Visual Planning application.

This flexibility allow it to serve various ‘vertical’ areas with planning, resource management and / or scheduling requirements, from generic staff scheduling needs to project management and field service, maintenance, construction scheduling, training management, etc. A customer implementation can cover several of those areas that can be effortlessly integrated in a single system. Because of this flexibility, Visual Planning can also be scaled easily to add other departments or user groups. Size of user pool for existing deployments varies from 2 to 70,000+ users.

Visual Planning’s UI is entirely based around drag and drop interactions, colors and icons so that information can be instantly understood and schedules can be easily modified by users on the go. This makes the application easy to learn and means it can be use by any user profile.

Rules can be set up in Visual Planning to prevent specific scenario, for instance, double booking a team member or a piece of equipment, making sure that a metric do not exceed a preset threshold, flagging tasks or events in a specific status, etc. This can trigger in application alerts for the user or e-mail notifications to a project manager or stakeholder.

When looking for a resource to work on a task, project or any kind of activity, Visual Planning can provide a filtered list of options based on multiple criteria such as availability, location, skills, certifications, overtime, etc.

Visual Planning can display real-time workloads and calculated metrics to assess capacity vs. demand, budget vs. costs, planned vs. actual; this allows managers to anticipate bottlenecks and overheads and make insightful decisions to solve issues before they actually happen.

What Problems Will Visual Planning Solve?

1. Multi-resource scheduling

User A needs to schedule a task that requires three team members with a set set of skills, a machine, and a lab in Boston for two full days. In Visual Planning, user A can find the right team members, make sure that are all available at the same time and at a driving distance from the lab, make sure that the lab is not already booked that day and that the machine is not being used or under maintenance.

If by mistake user A books a team member that happens to be on vacation that day, he receives an alert saying that person is not available. User A views a cost estimate for the task that includes all team members rate, lab and machine costs, which is then sent to their company’s billing software.

User A can do this in less that three minutes without sending any e-mail, looking at a spreadsheet or making a phone call. All team members and the lab manager receive an automated e-mail where they can click to confirm the booking, and the task shows in their personal calendars.

2. Offsite team members

Team member John works for a service company, but he is always travelling to customers’ sites and don’t often have access to a computer during his workday. John can view all of his work schedule in Visual Planning on his smartphone, and retrieve details of each assignment, including customer details, to-dos and important files. He receives an e-mail for each new assignment or change. He can request a day off after Christmas, which then shows up in green once John’s manager Katie has approved it (from her own phone).

Using Visual Planning, John can record the work and hours completed with each customer at the end of each appointment, write a status report, and have the customer sign off the report on his phone screen. The customer and John’s manager then receive a PDF copy of the signed report.

3. Real time updates

Company ABC is a medium sized construction company with long haul contracting projects. Every day, company ABC holds a status meeting with project managers, directors and VPs in the morning to gather project information, identify delays, issues, prioritize upcoming projects and resolve any emergency. This eats up a lot of time for all participants, especially because most of the information is missing and project managers need to call each worksite to get the latest updates prior to the meeting. With Visual Planning, team members records delays, issues and project status directly from each worksite, so project managers don’t call in the morning anymore.

Visual Planning display that they can show on the TV screen during the meeting, and issue and delays show up in red. Upcoming projects are also entered in the system along with cost estimates, projected schedules and staffing, so VPs know that the company cannot add a new project in the next six months. As the meeting progresses, a user reschedules upcoming projects on the fly to test various scenario and see how it looks if he pushes that big project for another two months, squeeze in this small one before, etc.

Companies have different wants and requirements and no software application can be ideal in such a situation. It is pointless to try to find a perfect off-the-shelf software app that fulfills all your business requirements. The smart thing to do would be to modify the system for your special requirements, employee skill levels, budget, and other elements. For these reasons, do not hasten and pay for well-publicized leading applications. Though these may be widely used, they may not be the ideal fit for your particular wants. Do your research, look into each short-listed system in detail, read a few Visual Planning reviews, contact the seller for explanations, and finally select the product that provides what you want.
