What is Document360?

Document360 lets you create a customer-facing knowledge base with a clutter-free user interface, allowing internal users and your customers to easily find answers to their queries. It sees you through the entire process of building your knowledge base with its customization tools, category manager, version control, and security features. Plus, it seamlessly handles hosting and high-performance content delivery to your end-users.

Another distinguishing quality of Document360 is its documentation tools, which allow you to create and manage knowledge base articles. Editors and writers can fully utilize article management tools like difference viewer, restoration of versions, and article previews. The software also provides authors a discussion platform where they can collaborate on the writing and reviewing of articles.

In addition, Document360 has a built-in version control feature that keeps track of all the changes made in your content. This prevents your content from being overwritten whenever someone updates it. In the version history, you can see the complete changes made to an article, and in case the wrong version got published, you can easily restore the previous version of the document. Using the difference viewer tool, you can click on two versions from the article version history and compare their differences.

Moreover, customization tools give end-users total control of the fonts, layout, and design, helping you create a stunning knowledge base that matches your brand. You can even use custom CSS to define your own web page layout, fonts, and colors.

Additional functions you may find helpful include the software’s bulk operation capability, daily backup tool, API access, redirection tool, and import and export features.

As for integrations, Document360 works seamlessly with third-party applications and business systems, such as Disqus, Zendesk, Google Analytics, and more. It also allows you to add widgets and snippets by using custom HTML.

To purchase the software, you can choose from three pricing plans: Startup, Business, and Enterprise. The Startup plan includes 2 team accounts and up to 5 GB of storage, while the Business plan offers 5 Team accounts and 25 GB of storage. The Enterprise plan, however, gives you 25 team accounts and 100 GB of storage.

Overview of Document360 Benefits

Manage and categorize your documents

Document360 lets you organize your content and sort them up to 6 levels of categories. You get total control of all category operations, may it be editing existing categories or adding subcategories. Using a drag-and-drop action, you can also reorder articles within categories. Plus, the software lets you set access controls to your content and documents so you can hide or restrict access to specific team members.

Provide answers instantly

Using Document360’s real-time search function, you can instantly give answers to your users’ queries. In addition, you can search by file name, tags or metadata properties to find your assets more quickly. You can also configure find-to-article paths and accurately connect users to the content they are looking for.

Match with your brand identity

Document360 has a rich landing page editor that gives you the freedom to customize your landing page according to your brand image. You can easily do this without needing extra assistance from your developers. By structuring the system’s information architecture, you can easily lead users to the right topics or categories. Moreover, custom CSS helps you personalize your web pages and set the colors, fonts, and layout that best fits your style.

Advanced formatting features

Formatting tools like markdown support, code block feature, and hyperlinks make things easier and allow writers to finish their articles faster. Furthermore, you can use the split-pane editor with markdown on the left and a preview of the output on the right. Helpful also are the built-in snippets for notes, warnings, or other common formatting options.

Attach files in your documentation

Unlike most knowledge base software, Document360 has a file attachment feature. This allows you to add files at the end of your articles and deliver a better quality of your documentation. Document360 also lets you upload as many screenshots as required. Moreover, you can embed videos from applications like YouTube, Wistia, and Vimeo.

Seamless file manager

Document360 comes with a secure file manager that organizes all your files, including images, videos, PDFs, and more. It provides a manageable folder structure for your knowledge base and allows you to perform bulk operations on your assets, such as moving folders, deleting files, or adding tags.

Configure article settings

You can easily set the page title, article tag, and featured image of your articles. You can also define the SEO settings for each of them. And in case you accidentally make changes to an article, you can always restore its previous version in a few simple clicks.

Create multiple documentation websites

In the case of multi-product companies, content writers may need to switch between several knowledge bases. Document360 solves this by letting you create multiple documentation websites instead for all the different products you need to document. These sites can be made public or private, and you can set granular access permissions for each of them. For instance, you can give a specific member the authoring control for some portals and set a read-only access for others, or you can configure permissions for team members on a project-by-project basis. Also, you can customize the HTML of each documentation website.

What Problems Will Document360 Solve?

Problem #1: Need to reduce support tickets

Elizabeth is head of customer support in a SaaS company with a global customer base. She says they receive 80 tickets per day and out of which around 30 tickets are frequently asked questions or questions related to onboarding and payment related. So, they need to reduce the burden on customer support agents by setting up a self-service portal like a knowledge base. A good knowledge base has comprehensive features that make customers feel valued.

Document360 can solve this issue by setting up a public-facing knowledge base where you can create documentation regarding the frequently asked question with a lightning-fast search engine and also can categorize, structure, and customize the knowledge base for the customers.

Problem #2: Approval workflow, private documentation, taxonomies

George is the CTO of a product company just described above. He is working on a new project and wants to involve his development team to contribute their product updates and documentation in a centralized information/ documentation center. He calls upon Hannah, the author who is the technical writer for the company to own the documentation of this project. As the project develops and a number of versions are released, now it takes a tedious work to import hundreds of files and store it in a place without proper taxonomy.

At this point, a good knowledge base solution like Document360 helps you to categorize, structure the content via taxonomies. Also, you can restrict the workflow and invite the user to read, write or edit the documentation. Now, you can send peer comments and feedback on the articles. Using the approval workflow, George receives a message in his universal worklist telling him that he has a document to approve.

The document is then published after George has checked and approved it. It can now be called up using the portal from everywhere in the organization.
