Pipefy divides the  business processes of a company or team into “pipes.” Pipes are stages or phases of a workflow. Each pipe is composed of cards which are the work items that they are managing. An example of a card is a product that a company is promoting or a computer that an organization is purchasing for their office. Hence, for an organization that is purchasing a computer;  the phases or pipes can include request, approval, purchase, and delivery. A card contains all the information or requirements that need to be specified, completed, or accomplished.

The process management solution provides a functionality which allows users to customize the things that they have to include within a card. Users can add fields within a card; such as phone number, email address, attachment, or a link to Pipefy database. A link to Pipefy database is a clickable link within a card that will direct users to any related set of information in the system’s database.  

Unless these fields are filled out or completed, users won’t be able to move on to the next phase or pipe. As an example, if there is no link provided to route the user to an information about a supplier, the card will stay within the approval pipe or phase. When the link is already added by an assignee, the card is transferred to the purchase pipe. By drag and drop, users will be able to move cards from one pipe to another.

Moreover, Pipefy offers a calendar feature. This calendar shows all the cards assigned to users for a specific period and their due dates. Users will be able to see if their card or task is close to its due date.

Another feature of Pipefy is its capability to automatically trigger an action if a predefined event or action is executed. For instance, when a new card is moved to the approval pipe, a new card is automatically created within the same pipe. This is called “connected card.”

Connected cards are used when there are additional processes that need to be carried out by other assignees that have to be applied to a specific card. This automation feature of Pipefy reduces human error and ensures that users won’t deviate from the requirements of their processes. Furthermore, users can set up specific conditions for this feature. As an example, a connected card will not be created if the purchase price is less than a specific amount.
