What is FreeAgent?

FreeAgent is a system whose story began almost a decade ago, when a team of Edinburg designers decided to create a small biz financial management app, and laid down the basics of one of today’s simplest and most intuitive accounting systems. Among other things, FreeAgent is preferred for its neat interface, where paying and receiving payments can be conducted even by non-accountants and first-time users. Moreover, FreeAgent is able to perform some basic time tracking and project management, which will eliminate the need to purchase additional software.

Currently, FreeAgent is used by more than 35,000 small businesses and freelance accountants in over 80 countries, who describe it as an easy and efficient system to manage their books and invoicing. As simple and basic as it seems, FreeAgent keeps professionals on top of their cash flow, automates a large part of their payment operations, and helps them understand the effect of their business transactions.

Connectivity is another of FreeAgent’s advantages, as you can associate it with all of your bank accounts, or move numbers in and out of its seamless 3rd party integrations with few clicks. Instead, you can insert transactions manually, and arrange taxes on appropriate levels in order to make operations more company-specific. Overall, customizing FreeAgent can be challenging for novice users, but it becomes a real ace up the sleeve once you’ve got a hold on it. The best part is that there are almost no limitations to how you will track mileage, as FreeAgent’s usefulness can always be extended with free add-ons.

Finally, our experts recommend FreeAgent because of its data storage and safety considerations, having in mind that data are backed up several times per hour to a secure server. Next to the primary data center, there is a secondary standby one in another location, regularly updated to take over your operations in case the primary one experiences difficulties. Needless to say, all information is encrypted to the highest security standards to ensure no breach or serious interference will happen.

Overview of FreeAgent Benefits

Defined briefly, FreeAgent is a simplified financial management system, based on the traditional double-entry accounting logic for managing associated mileage and importing manual transactions. The rationale of the system is to facilitate complex expense operations for small businesses, which is why it is hosted in cloud, and why it uses a common navigation pattern.

But how does working with FreeAgent really look like? Moreover, why should you choose this system over its enterprise-grade competitors?

Intuitive navigation

The dashboard known as Overview is designed in a sleek and modern fashion, and displays all important data for users to stay in control of their business’s financial health. The main cash flow chart spreads horizontally on the top of your screen, revealing the transactions you’ve entered in the last three, six, or twelve months. The dashboard also provides quick access to your Invoices, Projects, Estimates, and Time Slips.

Note that all working screens are based on familiar Windows conversions, including buttons, custom fields, add/edit bars, and dropdown menus.

Accurate contact management

Little tweaking will be enough to import your existing CSV database in this system, be it the one of your customers, partners, or Basecamp-managed projects. Optionally, you can choose to import those contacts yourself, and benefit from the system’s powerful customization to create beautiful and personalized records. All active financial information will be displayed on a vertical panel, from where you can extract an annual bill summary, or add related projects and set deadlines.

What is more, FreeAgent allows you to enter time slips, estimates, and expense mileage in the same panel, so that transactions will contain all details relevant to your operational framework. Once inserted, each project will receive its own page, where you can list and access all activities related to it.

Facilitated payments

To the satisfaction of business and end-users, FreeAgent has enabled payments directly into the system, and attached links to all internationally applied payment systems in the invoicing templates. By simply entering their credentials, clients can pay via PayPal, Stripe, or Dwolla, which is what makes FreeAgent attractive for Etsy and eBay retailers. The system also accepts payments from all major credit card providers, and collates bank transfers from more than 80 countries worldwide.

Advanced expense management

FreeAgent handles expenses more capably than someone would expect from a small-biz adjusted tool. All expenses can be categorized by currency, linked to specific projects and activities, tracked, and documented once the invoice is paid. Bank statements, on the other hand, should be uploaded directly on the website, so that the system would ‘consider’ them while reporting. Nevertheless, have in mind that FreeAgent doesn’t comply with the traditional statement-balance account reconciliation procedure, and will require you to add captions and descriptions for each feed that doesn’t match any of your categories.

Atypical inventory tracking

Due the fact that FreeAgent is an international system, it barely stands in line with the inventory management mechanisms US businesses are used to. Alterations are indeed automated upon buying/selling products, but major bookkeeping operations are still conducted using reports and Journal entries. Checking your stock may add some burden on billing and invoicing, but our experts believe that on-dot control over the products’ description is critical for selling abroad.

Taxation management

LiveAgent allows you to use your reference schedule C to prepare taxes, as all categories in the system coincide with the IRS ones. Next, access the Journal entries and copy the tax prep totals to access tax return and pull off debit and credit reports. These operations are usually performed by professionals, but FreeAgent simplifies them to an extent where even beginners can lead the entire taxation program.

Pros:
Freeagent is very intuitive and easy to operate. Their support team is great and really helpful, also its in-app help is very good. I love the integration with Dropbox. I can use it even from my mobile device. These all are part of 3rd party services.

Cons:
As your company grows you will find some limitations from Freeagent software. If I want to prepare tax I need to do it by an accountant on the back end. Also, the software doesn’t provides you with other CRM tools and sales forecasting. When I want to pull in new user to freeagent I need to manage pipeline in separate app first.

Pros:
Freeagent is great for small businesses because provides with great book keeping solution. The interface is intuitive and clear. I love the ability to add expenses via mobile app so the users can input expenses in real-time.

Cons:
I think the product is made for UK audience, because there are many things that are not clear for the US audience. They need to implement more functions. They need to improve their integration with other smaller banks. I need to manually download and then upload bank statements so I can categorize them, it’s time-wasting.
