Our score: 9.1 User satisfaction: 98%

What is Atlassian Confluence?

Atlassian Confluence is a tool that improves collaboration through more efficient knowledge sharing. Designed to be open and collaborative, the platform makes it easier for teams to work together on a wide range of tasks and projects, from product launches and marketing campaigns to technical documentation. Seamless integrations with other Atlassian products and apps from the Atlassian Marketplace also ensure that users’ workspaces have all the functionalities they need.

The software allows you to create an organized, dedicated workspace that connects teams. Confluence offers over 15 templates to help teams get started on creating their ideal workspace. Pages can be customized with images, videos, and GIFs to make them more engaging. Once pages are up, these can be easily shared with the team. This way, everyone is always on the same page.

To improve organization, Confluence also allows users to group related pages. Structured page trees, categories, and a robust search feature ensure that users can always find the content they need. The software further boosts productivity through capabilities such as in-context feedback through inline and page comments.

Confluence also offers enterprise-level solutions. Confluence for Enterprise ensures high availability for organizations of all sizes and provides organization-wide controls for security. The software also offers self-managed solutions to organizations that require deployment flexibility and disaster recovery.

With all these features, Confluence ensures hassle-free collaboration for teams and organizations of all sizes.

Overview of Atlassian Confluence Benefits

More efficient collaboration

Confluence ensures that teams can collaborate more easily. Users can create team workspaces dedicated to tasks and projects, with pages that include relevant content. This way, everyone on the project is always updated on the latest information. These dedicated workspaces make it easier for users to work together and be productive. The platform also offers seamless integrations with other Atlassian products and apps from the Atlassian Marketplace so users can build team workspaces customized to their needs.

A wide selection of templates for pages

With Confluence, you can hit the ground running by using templates to create the pages you need. The software offers ready-made templates for a wide variety of pages, including project plans, product launch plans, marketing plans, and OKRs. You can also create pages for marketing blog posts and how-to articles to distribute updates and information to your team and customers. You can make these pages more engaging, too, by adding videos, images, and GIFs.

A more organized workspace

Confluence helps you organize your workspace through features such as categories and structured page trees. These features ensure that users can always find the content they need. Plus, search features ensure that all pages are within reach. These features help users avoid wasting time on searching email threads and messages for information.

Faster approvals and feedback process

The software can speed up the approval process through inline and page comments. Users can jointly edit pages and provide feedback as needed. Team members can also be mentioned so they can be notified in case their input is needed. These features also provide more transparency to the approval process.

More control over security measures

Confluence Enterprise uses organization-wide controls to give you more control over who can access your organization’s data. The software lets you manage user permissions on a more granular level and enforce stricter security measures. You also get more control over user logins.

High availability for organizations of all sizes

Confluence for Enterprise supports business continuity through safeguards such as disaster recovery, data backups, and redundancy. Confluence Cloud also offers a financially backed 99.9% uptime SLA, so you can be sure that your team can count on the software for critical work.

Self-managed options

Through Confluence Data Center, organizations get a self-managed solution that provides more configuration options. These include deployment flexibility (on-premise or with IaaS vendors), your choice of identity providers, and intelligent load distribution. Confluence Data Center also offers more powerful admin permissions with auditing, bulk editing, and troubleshooting capabilities.

Highly-trained support teams

You can choose from four support plans – Select, Premium, Priority, and Premier – depending on your organization’s needs. Confluence’s subscription plans provide direct access to a team of highly-trained support engineers. This ensures that your software issues are quickly resolved. The software also provides coverage SLAs so you’ll know the initial response times to expect.

What Problems Will Atlassian Confluence Solve?

Problem #1: Siloed information between teams

As companies grow, it’s difficult to keep everyone aligned and on the same page. As a result, there’s siloed information between teams. Remote teams don’t feel connected and informed. If someone leaves the company, institutional knowledge is lost.

Solution: Confluence’s open-by-default permissions structure and shared team workspace ensure everyone can view important information, maintain alignment across teams, and help people adapt to changes quickly. Teams and people profiles take this one step further by showcasing what teams and individuals are working on. Blog features also give visibility to important team and project announcements.

Problem #2: Teams feel disconnected from company strategy

Individuals and teams don’t feel connected to company strategy. They don’t have an easy way to share ideas and work. They don’t feel that their contributions are acknowledged.

Solution: Confluence gives everyone a voice with collaboration features such as likes, comments, and in-line comments. The Home feeds also showcase organic activity on Confluence.

Problem #3: Disorganized workspaces

Teams need more organization and structure for their work. They can’t find the information they need to do their jobs. They don’t have best practices for getting started.

Solution: Connected spaces, page trees, and advanced search technology make it easy for teams to find what they’re looking for. Confluence mobile apps give people the power to access work materials even when they are on the go. Templates make it easy for teams to spread best practices across the organization.

Atlassian Confluence Position In Our Categories

Keeping in mind companies have special business wants, it is logical that they abstain from selecting a one-size-fits-all, “perfect” software. Just the same, it is almost impossible to find such application even among widely used software products. The practical step to do can be to write down the various vital functions which necessitate analysis like major features, costing, technical skill aptitude of the users, business size, etc. Thereafter, you should do your research to a full extent. Have a look at some Atlassian Confluence reviews and scrutinize the other solutions in your list in detail. Such all-encompassing product investigation ensure you take out ill-fitting apps and select the system that offers all the function you require company requires for optimal results.

It is important to note that hardly any service in the Collaboration Software category is an ideal solution able to fulfill all the needs of all business types, sizes and industries. It may be a good idea to read a few Atlassian Confluence Collaboration Software reviews first as some software might dominate exclusively in a very narrow set of applications or be created with a very specific industry in mind. Others might function with a goal of being easy and intuitive and consequently lack advanced functions needed by more experienced users. You can also find software that cater to a broad group of users and provide a complex feature base, however this usually comes at a more expensive price of such a service. Ensure you're aware of your requirements so that you select a solution that provides exactly the features you search for.

PROS: Confluence, for me personally, is great to share knowledge between team members. Whether it be ways to troubleshoot common issues to setting up how-tos for automated programming. Each team can also set up their own separate page to share and create whatever they feel works best. The tool is also great for our Agile Scrum environment to organize sprint retrospectives.

CONS: Creating and organizing pages could be a little more intuitive. However, once you get used to the current UI it isn't that big a deal.

PROS: It helps you to learn what kind of tool you never want to make use of again.

CONS: The latest roll-out of editor is riddled with bugs and user case failings. I have lost a huge amount of time, trying to workaround the issues, and sending a million service requests to support.

PROS: I like that Confluence is easy to set-up, use and find what you need. The navigation is straightforward and this makes the whole process of consuming and creating new content simple and easy. All you have to do is to navigate your content in a way that supports this tool.

CONS: What I don’t like is its slow pace. If you have good server then it won’t be a problem but if you are self-hosting then you would experience this issue. Also, I don’t like that they haven’t updated their design for a years. In addition, it can be pricy when you have large number of users.

PROS: There are many features I like about Confluence. It smoothly integrates with JIRA and its components to help you create different types of documents. The app offers templates to create tasks reports, retrospective meetings, etc. Plus, you can create and use your own templates. Confluence has the same permission model as JIRA, which allows you to configure access at various levels. Finally, you can embed a JIRA report inside documents and reports, which helps you to communicate with the information directly taken from JIRA.

CONS: My main grouse is the licensing model is linked to JIRA licenses. This means if I pay for 100 JIRA licenses, but only 20 of our employees use Confluence, I still need to shell out for 100 Confluence licenses.

PROS: I love Confluence because it offers many good features. It is cloud-based which makes it accessible anywhere, on any device. My team uses the app for documentation. Our company documents upcoming and new requirements on it. Our developers, as well as QA and BA teams also use it productively. The search feature is useful and you can find what you need easily. You can tag users on a page to ask them questions. Plus, you can follow the page to keep yourself updated on the changes made to the page.

CONS: The vendor could offer a more useful plug-in for MS office apps. There is no Excel spreadsheet on the page which makes it difficult to use formulas and calculations.

PROS: With Confluence it is very easy and fast to create new articles from scratch or from template, organise them and search for a particular content. All controls are intuitive and you don't need to read the documentation or undergo training. "Watch" function helps you to keep up with updates in the entire knowledge space. Confluence is very well integrated with other Atlasssian solutions, like JIRA. Personal spaces of users can be used as private notebooks that are versioned and securely stored in the cloud.

CONS: User access configuration is not very flexible. For instance, you cannot configure access for some users for editing templates without granting them Administrator role. Table formatting functionality is limited and in some cases non user-friendly. As an example, if you want to justify the text in the middle column to the centre it will move the whole table to the centre of the page.

The app is also suitable for our Agile Scrum environment and we use it to organize sprint retrospectives.

PROS: I can easily add, change and remove pages within the system and to share with others or to set everything private. The design is modern and intuitive. I’m able to assign tasks for my clients, to setup meeting notes and takeaway action items. The version control of files is extremely easy and several people can edit same file at the same time.

CONS: In my experience, it’s not always straightforward to allow editing by only some users. I don’t like that the setting is hidden and hard to find. Also the in-app file editing for uploading files doesn’t work sometimes, we had some issues when editing files in specific browsers and we had to download them, edit and re-upload them instead. Additionally, user profiles doesn’t link with our internal profile.

PROS: My favorite part about Confluence are the templates, especially Product Requirements. The system allows you to create and customize your own templates if you wish. Plus, the app integrates easily with JIRA which is another plus point.

CONS: It is difficult to reorganize items in Confluence. You cannot simply drag and drop them for reorganizing. Instead, you have to edit the hierarchy to move items around. This is very upsetting for me. My work involves moving my items and reordering my pages all the time, so it would be great if the vendor listens to my feedback and includes drag and drop functionality to move items around.

CONS: Sometimes it can be difficult to create projects from scratch. Also, some features are not always intuitive and the search option is not optimal. In addition, it requires add-ons for specific use cases.

PROS: I love using Confluence. It's on the cloud which means anybody that has permissions can access it from any device. Our entire team uses Confluence for documentation. The business uses it to document the new and upcoming requirements on it. The developers add their technical notes and estimations against it, the BA and QA create tickets and test cases against it. It has a great search feature so you can search on topics. You can even tag users on the page. This way if the page changes or if somebody has a question for a particular person they can tag the person. You can follow the page which will keep you updated every time something changes on the page

CONS: I wish they had a better plug in for MS Office products. I miss having Excel spreadsheet on the page. It would make estimations, formulas, calculations and having grids much better.

CONS: The email notifications are useful, I get notification when something is changed, but in order to see what change doesn’t work well I have to spend huge amount of time to see what the changes is and to compare archive copies. It would be great if they could include simple highlight.

PROS: Confluence is very affordable and you need to pay only $10/year for 10 users to host the system on-premise. This ensures I can maintain good data security. The app is easy to set up and use as everything is point-and-click. The Spaces feature helps to keep everything organized. You can grant permission to these spaces based on user role and define what each user can do in the spaces.

CONS: The graphic user interface can be a bit slow at times. The mobile interface is limited but comes in handy when you wish to access your data in the field. We use the mobile interface a lot during meetings to quickly access protocols and documents.

PROS: It is easy host a large number of documents and our company’s Confluence system hosts more than 500,000 documents. It integrates smoothly with JIRA and you can use macros to refer directly to JIRA issues. Plus, Confluence offers a great WYSIWYG text editor which is much better than Evernote.

CONS: I can point out a few drawbacks. There are not enough languages for syntax highlighting. The search feature is basic and it is difficult to find the documents you need. Finally, if concurrent edits are made to a document, the Nth edit will overwrite the N-1th edit. This is because there seems to be no conflict resolution for the edit differences.

PROS: I like the simple user interface that makes it easy to access all the information you need. You can easily share pages with your team members and they can receive updates as soon as you modify the data. The Spaces feature ensures specific areas don’t get cluttered and overflow with info. The page creation functions resemble MS Office apps which makes it easy to work within a page. Plus, you can attach DOC, XLS, PDF files, etc. to a page and launch it immediately.

CONS: The one issue with email updates is if multiple updates are done to a page, then your inbox is flooded with email updates about the changes. It would be better if the app sends a summary email informing about all the changes or some such similar feature.

Ease of Use

PROS: It's a great tool for project management. I like the best that you can tag specific people and specific departments that should be involve in an ongoing project or that need to take an immediate action. it's also very simple to share documents with different departments. You can create a library of specific documents that apply only to your department and share them with them privately. Other people can also collaborate online on these documents. You can also assign cases/tasks to multiple people and select the priority of the project to take into consideration other projects timeline as well.

CONS: At first, it was very complicated to understand. Our Confluence instance wasn't user-intuitive, so it took me a few training sessions to understand how to use the platform at its capacity. My confluence permissions at best were not the same as the ones for my team, so i couldn't see the same layout or documentation. But after a few weeks, the confluence administrator was able to set up the right permissions for me and I was able to see everything relevant to my position and my team.

Ease of Use

PROS: As a company we use JIRA, Confluence and Hipchat. All these services work pretty well together but I believe it requires some work to get them all working well. I like how I can follow specific pages (from different teams in my company) to help me keep up to date with different products; it helps keep me in the know when working for a international company

CONS: It's pretty developer friendly so some features can be a bit complicated to use and some users can be restricted by the admin. The product is great, but it can also be a bit overwhelming to use at times (getting some of the integration to work).

PROS: Your imagination is the limit when it comes to what you can do with Confluence. Although the software was first used by our product and dev teams, our marketing team has transitioned over so everyone in the company can work off of one system. You can customize your workflow and projects settings however you like and the add-ons make anything possible.

CONS: Along with the ability to fully customize comes a lot of initial set-up. Our marketing team is trying to figure out how we can create new workflows and project templates that will work for us.

PROS: I think Confluence is an excellent app to document procedures and processes. Most people hate documentation, but Confluence is so easy to use it makes the process an enjoyable one. I document a lot and the system enables me to use my keyboard for formatting through macros and keystrokes without needing to use a mouse.

CONS: I have no complaints about the application. The only minor glitch is search results are not ordered by relevance. It may be my imagination or it could be a configuration decision of the administrators. Anyway, it is a negligible issue so no worries.

PROS: Great app to discard and link user stories. It offers template so you can design test format, user stories, articles, share link, MOM and Retrospective. The search engine has Ajax technology and this makes the app to be user friendly and to easily find tickets you need. I like the integration with Confluence and Jira. It allows me to easily write user-stories and to accept criteria.

CONS: In my opinion, Jira and Confluence credentials need to be same.

PROS: In my opinion, Confluence is basically a wiki that you can use for your company. I use the app to write guides that can be used by different units in our company. I really like this software and recommend it to everybody.

CONS: I have no complaints. The only small glitch is about the formatting which the vendor can improve to make it similar to a forum. This is because it is difficult to copy/paste all the time.

PROS: Confluence is easy to use and it provides consistent interface along with other Atlassian tools. It has simplified settings page that are great for personalization. You can easily create new page. I like the calendar feature and I use it as planning tool and to subscribe members of a team. It integrates with directory. It is great tool for tech and admin roles, the upgrading process is smooth.

CONS: I cannot find an easy way to share content with external customers, it would be great If I could use integration with Salesforce or Dynamic CRM to make this useful tool for the organization. It can be time consuming to browse on two systems to get the work done.

Ease of Use

Published on: 11.01.2018 Company Size: More than 100 Employees Industry: Information technology

PROS: Confluence is a wiki designed for companies to store, manage and share their information. It's "information management" rather than "document management". I used to work at Atlassian, the maker of Confluence. While working there I appreciated the fact that ALL of the company's information was stored in Confluence. Now that I'm working somewhere else, I have come to fully appreciate the benefits of Confluence -- due to its absence! The real benefits of a corporate wiki can only be truly attained by committing to it all-in. For example: * Stop sending documents via email -- put the information on a wiki instead * Stop email chains -- comment on the wiki pages themselves, and be automatically informed about updates and new comments * Make all your corporate information searchable, rather than sitting in Office documents on individual computers * Encourage information sharing by opening access of the wiki to as many staff as possible * Staff who join the company have immediate visibility to all past information In contrast, my current company sends all information via email and each person must keep their own email archive. Somebody who joins the company has no visibility to what happened in the past. There's no easy way to "discuss" information in the same place that the information lives. Confluence has many features that make it easy to share information: * "Watch this page" will notify you of updates to pages you nominate * Add comments and discussions on the same page as the information * Use plug-ins to extend the system, such as querying data from external systems, drawing charts, inserting calendars and cross-referencing other information within the wiki

CONS: Confluence can be challenging to configure and maintain, so there is also a cloud-based, fully-managed version that might be simpler for some companies.

PROS: * Great WYSIWYG * Strong layout features (sections, columns) * Rich macro functionality - lets your wiki do so much more and integrate with the other cloud apps that you use * Allows to easily create hierarchies of pages, easy cross-page references * Useful blueprints (templates) for workflow documents * Visually pleasing - important because it appeals not just to engineers, but the whole company

CONS: * Not as fast as I'd like it to be * Have to enter "Edit" mode to edit the page (no Google Docs-like experience), but that's changing in the future * Tables aren't great * A bit pricey, especially for small teams trying to use several Atlassian's products together

CONS: Sometimes the search functions turns up too many results. If all users would assign tags to pages, searching would be much easier.

I like that there are lot of templates available that are institutional related. I’m able to set-up notes, to use calendar system for some projects and to use templates for this purposes.

CONS: It can be complicated to set up permissions but maybe this is because of our Windows Authentication scheme.

PROS: Confluence offers many features that I like. You can set up alerts, watch pages, and mark favorite pages. Another useful feature is you can link to other pages and we use this feature a lot in our company.

CONS: I don’t like the “digest” that the app sends to my email. I want to receive email alerts about page changes only once a week. But the digest comes often and it doesn’t clarify which pages changed and what are the changes. I have to go the pages and look for the changes myself, so the digest is a bit useless in this regard.

PROS: Confluence helps us to define roadmaps and specifications in a collaborative way. We are able to create various spaces so we can stay on the top, to reduce noise and to increase the chances of adding value. We don’t use it only for sharing information with the team but to provide access to our customers and to allow them to update and review their specifications. This tool allows total transparency so everyone is in the same page. It provides templates for common pages, I personally like SCRUM page templates to document into the SCRUM workflow.

CONS: There is a learning curves for newbies so they can learn about its options and cases. It takes time to learn about tools and product documentation.
