With its powerful and intuitive surface, this platform provides users with a wide range of tools for workflow visualization and optimization. It also has the ability to organize multiple swim lanes and hierarchies, making it easier for you to roll out more personalized and specific workflows.

What makes SwiftKanban unique from its competitors is that it combines scrum boards, kanban boards, and visual management to help users setup and automate highly efficient workflows. Moreover, it has a highly configurable interface that lets it support over 50 enterprise-grade integrations. This way, various businesses can merge it with business-specific tools to further reinforce their project planning process.

In addition to its comprehensive set of project management tools, SwiftKanban also has the capacity to run risk assessments, demand and capability analysis, and delivery forecasting. Meaning, you can not only map out your project plans but also fine-tune your workflows with little to no effort.

Overview of SwiftKanban Benefits

SwiftKanban is a great visualization tool for project managers, entrepreneurs, and other professionals. With its agile approach to workflow mapping and project management, users can make the most out of every business venture. Moreover, they can ensure that their plans are carried out as smoothly as possible. On top of those, this platform also offers the following benefits:

Streamlined Workflow Mapping

Projects, no matter how simple or complex, can easily go wrong if you don’t plan them carefully. To help you manage multiple aspects of a project, SwiftKanban has a SmartLanes-based Swim Lane design. With this, you can perform advanced workflow mapping that go beyond varying processes and classes of service. This allows you to streamline your workflow and make sure that no detail is overlooked.

Highly Personalized User Experience

One of the things that make SwiftKanban a great visual project management tool is its configurable yet simple to use UI. Users can easily customize the board designs depending on the requirements of their operations. Moreover, they get access to a wide array of robust visualization controls that include change tracking, board zooms, and even calendars. In addition, the software can integrate with a number of third-party applications so you can extend its capabilities as you go.

Simpler Workflow Review

Sometimes, there are workflows that remain complicated even as it’s mapped out right in front of you. This is why SwiftKanban is equipped with a Board Playback feature that lets them simulate their workflow in real-time. With this, they can watch how their planning has performed over any given time period. By doing so, users can easily pinpoint workflow bottlenecks, determine patterns, and identify opportunities for improvement.

Better Project Planning Insights

Lastly, SwiftKanban allows its users to make better sense of their workflow data. It is equipped with Kanban-based analytics tools that allow you to monitor productivity and project progress. Used hand-in-hand with the workflow review feature, this will allow you to have better control of the workflow planning process as it keeps you wary of any inefficiencies from previous workflows.

What Problems Will SwiftKanban Solve?

  1. Lack of Visibility and Stagnant/Declining Productivity

Unlike in manufacturing organizations, where Work-in-Progress (WIP) is visible, the current inventory and open or unutilized manufacturing capacity is easily visible, in knowledge organizations, which depend on its people to deliver their products and services, this is not so easy.

Work-in-Progress in these organizations is lying in computers, cloud-based servers and in people’s minds. Management is unable to determine what the teams are doing exactly and traditional management tools, such as project management and other workflow management tools, have been ineffective in helping them understand that.

SwiftKanban helps organizations and teams visualize their workflow and work on a Visual Kanban Board.  The workflow or value stream through which work must flow to be completed is visualized on the Kanban board, using SwiftKanban’s powerful SmartLanes capability. SwiftKanban’s SmartLanes allow for pretty much any knowledge process to be modeled effectively, whether it is a product/application development process, a DevOps workflow, an IT Helpdesk process, an HR recruitment process or an advertising campaign process! Work is visualized as Kanban cards of different colors to identify different work-type of classes of service or priority, as needed.

Once work is visualized and managed on the Kanban board, SwiftKanban provides many visual and insightful features to help manage and optimize the flow of work (using WIP Limits), visualize problems/ bottlenecks (highlighting WIP Limit violations, blocked or flagged work items), work that is being ignored or forgotten (waiting or aging work items) and make sure that there is smooth and optimized workflow through the system.

As teams start to use the Kanban board and process effectively, SwiftKanban provides very useful analytics and animation to help them understand how their process can be improved, their delivery cycle times reduced, their Throughput or Velocity increased, as also the overall value and quality delivered to their customer. It helps them forecast with confidence how much they can deliver by when, and provide management and customers great visualization of the team’s performance and commitments.

  1. Portfolio Management: Aligning Projects and Teams to Strategic Initiatives

A big challenge for executive management in any organization is to define and propagate corporate initiatives of strategic importance and then make sure that all organizational activity and projects are aligned to one or more of those initiatives. Traditional portfolio management solutions have proven to be very complex to use and ineffective in this key requirement.

SwiftKanban’s Hierarchical Board/Card design capabilities and other functions provide a great visual method for modeling corporate portfolios of strategic initiatives, programs and projects/ops using a set of linked hierarchical boards to manage this task in an intuitive, visual, easy to setup manner.

SwiftKanban’s Portfolio Kanban features provide an easy way for Program and Portfolio managers to track progress of lower level projects and tasks at the higher program and portfolio level. As lower level work gets completed, management gets a visual feedback at the program/portfolio level and can easily drill down to see the details of the work completed. An unlimited level of board hierarchy ensures that this is available to the top management or customers as needed, without burdening lower level managers and teams with any data entry and management overhead.

  1. Challenges of Missing Deadlines and Undelivered Scope by Agile Teams

The Agile manifesto and methodology came about to solve a crucial problem: that of scope, time and cost overruns of traditionally managed (Waterfall!) projects for product/software development. However, over time, Agile (Scrum) teams have inherited some of the very same problems they had wanted to solve! Key amongst them are the challenges of missed Sprint/Iteration commitments on scope and time; incomplete work (split user stories); and understanding and working with the new roles and responsibilities.

Kanban’s evolutionary approach to organizational improvement and SwiftKanban’s Scrumban features help Scrum/Agile teams to visualize their existing processes, highlight current issues and bottlenecks and gradually evolve to a process and cadence that works better for their team and their organization.  SwiftKanban’s support for all of the Agile team’s processes and Release and Sprint planning, tracking progress via Burndown and Velocity charts as well as managing each Sprint and Release visually on the Kanban board gives the Agile teams a powerful set of familiar and new tools to deliver their work in a much more predictable and visual manner.

Over time, they can evolve to a more Kanban-ish approach that allows them to deliver working code more continuously to production environment while keeping stakeholders completely aware of commitments made and status of work.

  1. Implementing a DevOps Culture

In recent years, testing, code management and deployment automation technologies have made it possible for software and IT teams to evolve to a continuous delivery environment where they can release new features, enhancements and bug-fixes far more rapidly and on-demand to their customers and business users. This has resulted in the rise of DevOps as a new and revolutionary way for Development teams to manage Ops related activities while providing both Dev and Ops teams much greater visibility into each other’s work. In many instance, it has resulted in a common team that manages the entire workflow from software development to its deployment on production. However, organizations and teams have struggled to understand and implement a DevOps culture effectively.

SwiftKanban provides a perfect management tool for implementing the DevOps processes and drive organizational change. SwiftKanban enables mapping as simple or as sophisticated workflow from Development to Test Automation, Build/Integration and Deployment on a unified Kanban board that helps all team members track the status of work from dev all the way to deployment at a delivery cadence that works for the team and for the business overall.

This has huge business benefits, especially on organizational productivity. Team members upstream (Business Analysts/Dev/Test teams) have full knowledge of deployment activity and any issues/ defects being reported from the field. Downstream functions and Ops/IT Helpdesk know the exact status of new patches/releases or specific bug-fixes and can keep customers/business users apprised of changes in production systems. Overall, teams are able to collaborate better, deploy more continuously and improve their SLA performance significantly!

SwiftKanban helps organizations achieve their DevOps goals far more effectively.

Enterprises have unique wants and requirements and no software application can be just right in such a condition. It is pointless to try to find an ideal off-the-shelf software system that meets all your business wants. The smart thing to do would be to modify the solution for your specific needs, staff member skill levels, budget, and other elements. For these reasons, do not rush and pay for well-publicized popular applications. Though these may be widely used, they may not be the best fit for your particular needs. Do your groundwork, investigate each short-listed application in detail, read a few SwiftKanban reviews, call the vendor for explanations, and finally settle for the app that provides what you require.

We’ve been using SwiftKanban for over a year in my organization. We are an IT organization and we use SwiftKanban for both Dev and Ops side of the organization.

We evaluated 5 different tools when we started on our Kanban journey. We finally settled on SwiftKanban because of its following benefits –

1. Powerful metrics and reports – we found SwiftKanban to have the best metrics that we wanted to use as part of our Kanban implementation. Not only did they have the best set of basic Kanban metrics such as the CFD, Cycle Time and Throughput charts – but also other great charts such as the Cycle Time Distribution, Control Chart and Blocking Analysis. They have now added even more metrics – including Flow Efficiency and the Adjacency Matrix – which we love!

2. Several features to support the Daily Standup, the Weekly Replenishment and our Monthly Retrospective meetings. These features include Card Aging, The “What Changed” feature, and the Calendar views – besides of course the Board Playback that allows us to see how our board played out for any review period!

3. Card Hierarchy – they have the most flexible card hierarchy feature that allows us to model intra- and inter-board hierarchy for different types of boards. We have set up program and application/ project level boards for this. Great representation of the hierarchy as well as rollup of progress information.

4. Excel Import/ Export – This took some time to get used to – but we truly appreciate the capability here – helped us move data in initially – as well as help us move data between apps. We are now looking to buy SwiftSync for real-time integration with JIRA and TFS that we use.

4. Overall power of configuration and yet the ease of use. While there is a lot of horsepower to the tool, it is still reasonably easy to set up and use. Their SmartLanes swim-lanes capability is the best I have seen across any Kanban tools.

On the cons – it can be a bit overwhelming at the start – since there is so much to the tool – they could do better with some better initial user help and videos. But they have outstanding support and hand-holding – and a great response time on support – that really helped us in the initial weeks of usage of SwiftKanban.

Overall, I strongly recommend this tool as one of the – if not THE – best enterprise Kanban tools.
